Travel

Participants can reach the training location comfortably by train, bus, or car.

Travel expenses will be reimbursed in accordance with our reimbursement policy. Please ensure you retain all relevant receipts and follow the policy guidelines when submitting your claims.

A travel report will be provided by the organisers to claim your costs after the training. 

 

Eligible Travel Expenses

  • Public Transportation
    Get reimbursed for second-class train or bus tickets directly related to the event, up to €40 for round-trip travel. 
     
  • Car
    If you use your car, we'll reimburse you €0.22 per km for distances up to 100 km (one way). For longer trips, reimbursement will be provided only for the corresponding second-class train ticket.

 

Accommodation

Accommodation will be arranged for participants who are unable to commute daily to the training venue. 

Each participant will be provided with a single-occupancy room including breakfast, to ensure both comfort and privacy during the training period. The hotel offers standard amenities, including complimentary Wi-Fi.

Please note that we cover the costs for accommodation and breakfast only. Any additional services, such as the use of the hotel gym, sightseeing activities, personal travel, parking fees, or charges resulting from damages, are not covered and must be paid directly by the participant. We look forward to welcoming you and supporting a smooth and enriching training experience.

Arrangements will be made for participants with disabilities or impairments (wheelchair access, sign language interpreters, assistive listening devices) to ensure their participation.

 

Meals:

To be defined

  • Lunch and afternoon coffee break will be provided each day.

  • Dinner and breakfast will also be provided for participants staying overnight.

  • OR All participants will receive a meal allowance per day to cover lunch and dinner.

Failure to adhere to these guidelines may result in denial of reimbursement.

Terms and Conditions

Since the programme runs on a limited budget — and accommodation costs are covered for you — last-minute cancellations can cause financial losses and reduce opportunities for others. Your support helps us keep the programme sustainable and accessible for everyone.

Cancellation Policy

  • If you cancel after confirming your participation, you agree to reimburse the project for any costs already incurred on your behalf - such as accommodation.

Commitment to Participate

By confirming your participation, you: 

  • Commit to attending the programme in its entirety. 
  • Commit to train others in the organisation post-training
  • Understand the financial implications of late cancellations.
